Assistance for VCF SE 8.0 -- IMPORTANT!!!

Folks,

During our last meeting, we shared that Jim Miller Park has no openings for a two day weekend at all in 2020.
This was an unexpected roadblock for us... and has us scrambling to find an alternate location. 

So, we need some assistance in finding a location to hold the show.   I apologize for not getting this out earlier
(life tends into interfere at times... was sick, had specialist in for my son Viktor, had friend in hospital, etc.  )
In any case,  if we want to have a show in 2020, we need assistance in finding potential places, making contacts, and initial vetting of whether or not a location might work. 
Currently Alan, myself and John are the only ones who have made calls.  But there is simply not enough time in the day for us to do this ourselves. 
We need people to step up and help if we're to have a show.

We had discussed a deadline of our next meeting, but with my late sending of this e-mail, I will say the end of November
we will need to have a location selected and dates locked in.    

Here's what we need.
  • We are looking for a location with 3K to 5K Sq ft of space.  We could go to 7K, but it would depend on cost. 
  • We would like to find a location on the north side of town, given our previous locations. 
  • We would prefer to be located either in or near a hotel.   I don't have a hard number on the number of rooms we might book.
  • We would like to be near some food/restaurants (or have something decent in the hotel)
  • We would prefer to have the location provide tables and chairs as part of the cost.  We would rather not have to arrange that separately.
  • We have a budget of $4K total (including tables and chairs)
  • We want to be able to get in on midday Friday, and out on early evening Sunday.
  • Date wise : Weekends of April 17 thru May 1.  Would prefer to not be April 24-26 since that's VCF East.  VCF PNW is March 21-22.  I'm thinking May 1st.  May 8th weekend in Mother's Day weekend.
  • I think we could go maybe to May 15th... would depend on what others think.
At this point I know John has spoken to one Marriott.  I have made some calls but don't have any concrete responses yet (I'm going to be on the phone with some later this week)

We can coordinate this via the mail list... I can create a subgroup if needed....

Would we be willing to hold in Alpharetta?  Technology Association of Georgia has a big space up there and I can find out if it's big enough etc. etc.

I am not very familiar with Atlanta, but I did find a site that lists all the available hotels with conference rooms. For 35 booths, it calculates a space of 6000 sq ft. You have to contact the hotels (click a button, fill out the form) to get rates. If you click on the line of the chart that you are possibly interested in, it opens a window giving the particulars for the hotel in general, the conference room, and local nearby places.

I finally got around to calling the American Legion Hall in Alpharetta (where they hold the annual SARS radio show) and they have dances every Saturday night making that venue impossible.

Not sure if this could work, but Mansour Convention Center on Roswell Road in Marietta has this: https://mansourcenter.com/pricing/
Travis Duke Room A and B: 4212 square feet, $4265 for the weekend ($2100 for 8-hour access on Saturday, $340/hour for 5 hours on Sunday, plus $125 for non-standard setup). Room A (1404 square feet) can be separated for speaker and/or consignment/concession, leaving Room B (2808 square feet) for main exhibit area. There are built-in A/V facilities, 2'x5' and 2'6' tables available (may be too narrow for our purposes). There's a 20% discount for 501c3 non-profits. Friday midday availability would of course push us past $4k budget. Wyndham Garden Hotel and Radisson Hotel are within a couple of miles at I-75. I have not checked for availability for next Spring; wanted to see if this type of space is even viable for us.

Would it possibly make sense to rent tables and show your presentations at a hamfest? For those who haven't been to one, tables are used by some people to sell products, other people are talking about their ham club... so you can do almost anything you want at your table. This might remove much of the headache of renting a venue and you would already have almost guaranteed interest with hamfest attendees. In many ways its the same crowd.

No, unfortunately we aren't.  We would need to get some legal help to do so.

Do we have any members that are lawyers or have friends that wouldn't mind helping us incorporate as a non-profit?

--- Hi Mark, The proposed bylaws which I provided around September, 2012, do include provisions (see Article Two) to meet the requirements for the club to claim nonprofit status under section 501(c)(3) of the internal revenue code. At that time, so long as our income was below $5000 per year, we could claim tax exempt status without filing with IRS for that. Caveats: I do not know whether the bylaws have been changed since then, nor do I know whether tax law has changed in this regard. Also, since I am not a lawyer, I cannot give legal advice. This was just my best effort to set things up properly.

No, we are not a 501c3.  No plans on changing that anytime soon.

thats gonna preclude a lot of sponsorships I'm sure. dunno if lack of 501c3 will affect venues, but it would not be surprised. most of the places I've looked at are not willing to part with services charges and usually have some stipulation about sales. ill keep looking, but most are also booked, or are well above and beyond the 4k limit, granted I'm looking at hotels mostly.
